Team and roles

Invite people to your workspace, choose their role, and limit which sites they can open.

Team membership belongs to a workspace, not a single site. Everyone you invite gets access to the workspace's sites at the role you choose, unless you restrict them to specific sites.

Where to manage your team

Open the account menu in the sidebar:

Roles

Roles form a ladder — each role can do everything the roles below it can.

ViewerRead-only access to analytics: every report, session, user, event, goal, funnel and replay on the sites they can open. Changes nothing.
MemberEverything a Viewer can, plus create and edit goals and funnels.
EditorEverything a Member can, plus configure sites: settings, integrations, imports, exclusions, share links, and deleting visitor data and recordings.
AdminEverything an Editor can, plus manage members and teams, create and delete sites, manage API keys and rename the workspace. Not billing.
OwnerFull access, including billing and deleting the workspace.

Whoever creates a workspace becomes its first owner. A workspace can have more than one owner.

Invite someone

Admins and owners see Invite Member on the Workspace page.

  1. Enter their Email.
  2. Pick a Role (Member by default). You can only give roles up to your own — only an owner can invite another owner.
  3. Optionally tick Restrict access to specific sites and choose the sites they may open (see below). You can also raise their role on just those sites with Role on these sites.
  4. If you use teams, optionally pick a Team to add them to when they accept.
  5. Click Invite.

The person gets an email with an Accept invitation button, whether or not they already have a Trace account. Without an account, they can sign up from the invitation page with the invited email; with one, they sign in and click Accept Invitation. They can also Decline.

  • Invitations expire after 48 hours. Pending ones are listed under Invitations with their expiry.
  • To resend, invite the same email again: the old invitation is cancelled and a new one is sent with a fresh 48 hours.
  • To revoke an invitation, click Cancel next to it.

Change a role or remove someone

Admins and owners can click the pencil next to a member to open Edit Member, change their Role or site access, and click Save Changes. You can only edit people whose role you could assign yourself, so an admin can't edit or remove an owner.

To remove someone, open Edit Member and use Remove Member. They lose access to the workspace's sites and data immediately. Removing someone by mistake deletes nothing about their account — invite them again to restore access.

To leave a workspace yourself, use Leave Workspace on the Workspace page.

Every workspace keeps an owner

The last remaining owner can't leave, be removed or be demoted. To hand over a workspace, make someone else an owner first, then leave or change your own role.

Limit access to specific sites

Admins and owners always have access to every site. For Editors, Members and Viewers there are two ways to limit which sites they can open:

Restrict a member to chosen sites

Tick Restrict access to specific sites when inviting or editing a member and select the sites. A restricted member can open only those sites (plus any granted through their teams). Role on these sites can raise — never lower — their role on the selected sites, for example making a Viewer an Editor on one site only.

Teams

On the Teams page, + Create Team groups members and sites:

  • Team Name — up to 100 characters.
  • Members — which workspace members belong to the team.
  • Sites — which sites belong to the team. Once a site is assigned to a team, only that team's members (plus admins and owners) can open it.
  • Role on the team's sites — optionally raise members' role on these sites; it never lowers it.

Sites not assigned to any team stay open to every unrestricted member. Deleting a team unassigns its sites.

Workspace settings

  • Rename the workspace under Workspace Name (Admin or above).
  • Delete the workspace with Delete Workspace (owners only). You type the workspace name and hold the button to confirm. A workspace with an active subscription can't be deleted until the subscription is cancelled.
  • Create workspace from the workspace switcher to start a separate workspace with its own sites and team.

FAQ

Can I give someone view-only access?

Yes — invite them as a Viewer.

Can I give someone access to just one site?

Yes. Invite them with Restrict access to specific sites and select that site, or add them to a team that owns the site.

Can I have more than one owner?

Yes. Any owner can make another member an owner from Edit Member.
